GuildWorks has one position currently open for a Full Charge Bookkeeper in Portland, Oregon. This position will begin at 30 hours per week with the potential to expand to full-time after the initial 90-day probationary training period. If the applicant keeps other clients, a 1099 arrangement will be considered. The intention is that this position will grow into the company CFO.
Due to COVID-19, GuildWorks has strict safety protocols for all employees in place. New employees are required to go through safety orientation and to follow all protocols. This position will report to the company Principal.
PURPOSE OF THIS POSITION To accurately record all financial data for the company including but not limited to accounts payable and receivable, create invoices, file receipts, make tax payments, prepare and record payroll, track inventory and prepare and analyze financial reports.
GOALS AND ESSENTIAL FUNCTIONS
Overall maintenance of books using QuickBooks Online.
A/P - Receive and record bills, prepare for payment, record expenses and bills accurately in QBO, analyze cash flow to determine pay schedule.
A/R - Help prepare invoices, record payments accurately in QBO, help with collections as needed.
Payroll - compile bi-monthly payroll data for submission to payroll company, prepare payroll checks for printing, create payroll journal entries in QBO.
Use a custom pivot table (with Google Sheets) to create labor cost allocations to projects, then enter into QBO.
Reconcile bank and credit card accounts monthly and provide monthly reports
Payroll Taxes - prepare and submit federal and state tax payments.
Oversee and execute compliance issues that come up.
Maintains historical records by filing documents, digitally and physically.
Complies with federal, state, and local legal requirements by researching requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.
Contributes to team effort by accomplishing related results as needed.
May assist with basic HR duties like new hire documents, compliance, OregonSaves, temporary disability insurance and workers’ compensation filings.
Follows bookkeeping policies and procedures efficiently and effectively; may assist in refining these procedures and processes.
Inventory asset bookkeeping management.
Other responsibilities as assigned and/or requested.
QBO Experience a Must - QBO ProAdvisor Certification preferred.
Hands-on experience with the Google Platform and Google Sheets.
BS degree in Finance, Accounting, Business Administration or proven experience.
Solid understanding of basic bookkeeping and accounting payable/receivable principles.
Proven ability to calculate, post and manage accounting figures and financial records.
Data entry skills along with a knack for numbers.
Adept with computers, particularly the Mac environment, as well as a variety of other platforms and programs.
Experience in working with multiple legal entities under different legal umbrellas.
High degree of accuracy and attention to detail.
Possesses prioritizing, time management and organizational skills.
Compensation commensurate with experience.
